My Client, a globally recognised financial services firm are seeking an experienced Executive PA to assist the Technical Senior management Team and be responsible for all administrative duties.

Responsibilities:

• Provide full administrative support to the Senior Management team to include effective time management of diary and meeting requirements
• Tasks may include but are not limited to subject matter research, producing summary papers, ensuring effective administration of the team
• Producing or editing PowerPoint presentations within tight deadlines
• To provide support to the Management team when required.
• Responsible for coordinating the creation and publishing of communications, including creation of Videoscribe (whiteboard animations) and Presentations to relay information and messages
• Create and maintain appropriate records and filing systems
• Travel – responsibility for organizing travel: including itineraries, currency, axis, flights, accommodation and managing expense claims
• Support Query resolution and act as SME for the processing invoices and expense claims for the team, ensuring that they adhere to the company’s T&E policy
• Assisting with the production of presentations and reports for senior management
• Preparing and reviewing documentation – required to prepare documents, spreadsheets and presentations and review the content of such documentation to ensure accuracy of data aswel as the suitability

Key Requirements:

  • As this is a tech role STRONG software skills will be required particularly SharePoint, Excel and PowerPoint
  • Willing to learn new technologies including Prezi, SharePoint and Videoscribe
  • Ability to communicate effectively and professionally with people of all levels and to understand and communicate complex messages both to and from those supporting
  • A minimum of 3 -5 years of experience as an Executive Assistant at senior level.
  • Advanced computer literacy and accuracy – strong skills in Outlook, Word, Excel and PowerPoint are essential
  • Excellent office management skills with proven experience in multi-tasking and priority management
  • Excellent time management skills
  • Excellent verbal and written communication skills
  • A professional manner both in person and on the telephone
